Highland Base accommodation

Scope

Kerlingarfjöll ehf. is an Icelandic company, which runs Kerlingarfjöll Highland Base as well as Highland Baths (hereinafter referred to as “Highland Base”, “we” or “us”).

We offer hotel accommodation at Highland Base Hotel and Highland Base Lodges (hereinafter referred to as “hotel accommodation”).

We also offer sleeping bag accommodation in huts and in larger dormitories (hereinafter referred to as “sleeping bag accommodation”).

These terms and conditions will apply to all online bookings for hotel accommodation and sleeping bag accommodation at Highland Base.

For bookings of 11 rooms or more or 21 guests or more, please contact our sales department (sales@highlandbase.is) - as other terms and conditions apply.

Important notice

Highland Base is a remote destination, located in the highlands of Iceland. Therefore, roads to Highland Base can be impassable during winter months and/or only accessible with 4x4 Super Jeeps.

Should you choose to drive to Highland Base, we strongly advise you to make sure that your vehicle or rental car is approved for driving on mountain roads (marked as F-roads on maps) and has all appropriate insurance.

Please make sure to monitor weather forecasts on safetravel.is and official information on road conditions on road.is. Please be advised that transportation is available through third party operators.

Furthermore, we strongly advise all our guests to have valid travel insurance (such as a “Cancel for Any Reason travel insurance”), which should be obtainable in your country of residence, and to take notice of the abovementioned when making travel arrangements.

Payment

A valid credit card is needed to guarantee your booking. The total amount of booking will be charged to the credit card guaranteeing your booking as follows:

  • Reservations of 5 rooms or less: 14 days prior to your booked arrival time.

  • Group reservations of 6 –10 rooms: 60 days prior to your booked arrival time.

All payments for accommodations and services at Highland Base must be made using electronic methods such as credit/debit cards or mobile payments.

Please note that we do not accept any cash payments in any currency.

Check-in

Check-in is from 15:00 and check-out is until 11:00. Early check-in and late check-out are subject to availability, at a charge.

Booking inclusions

For hotel accommodation, breakfast is included in the reservations. Other services, such as food and beverages, are not included and must be booked in advance. Access to the Highland Baths will be included with all reservations for hotel accommodation from March 2024.

For sleeping bag accommodation, only the accommodation is included. Access to the Highland Baths is not included with sleeping bag accommodation bookings.

If guests plan to dine at the hotel restaurant, we recommend booking in advance.

Cancellation and booking modifications

Online reservations of 5 rooms or less may be cancelled or modified without penalty up to 14 days prior to arrival with the link provided in the guest confirmation email.

Group reservations of 6 –10 rooms may be cancelled or modified without penalty up to 60 days prior to arrival with the link provided on guest confirmation email.

After the applicable deadlines stated above, no refunds will be provided due to cancellations or changes. The same applies to no-shows.

Special terms may apply to package travel; kindly refer to your confirmation email for further details.

Please be aware that we reserve the right to cancel or modify bookings, should we be unable to provide our services.

In such an event, the guest shall be entitled to a full refund of any amount already paid. Highland Base is, however, not responsible for finding alternative accommodation for guests.

Safety standards, liability, and Force Majeure

Highland Base disclaims responsibility for any loss, damage, accidents, sickness, or changes in schedule caused by a Force Majeure event, such as, but not limited to, strikes, labor dispute, lockout or interruption or failure of electricity or heating service, natural disasters, epidemics and quarantines, or any other irregularity outside our control and for expenses due to any of these reasons. All such losses and expenses are the personal liability of the guest.

When a cancellation in caused by a recognized Force Majeure event, the guest shall be entitled to receive a refund of 90% of the amount paid for the booking.

When entering our facilities, guests assume full responsibility for their own safety and the safety of those in their care.

To the maximum extent permitted by law, guests assume all risks associated with activities (such as snowmobile or hiking tours) organized by Highland Base as well as activities involving third party providers..

Highland Base cannot be held responsible for delays, cancellations, or accidents arising from tours or transfers booked through a third party.

Photographs, films and social content

Photographs, films or social content taken at our facilities cannot be used for any commercial purposes without prior written consent from Highland Base. We reserve the right to seek compensation for any use that is contrary to our conditions.

General provisions

Always comply with instructions from our staff. Lack of compliance or inappropriate behavior can result in immediate expulsion from our facilities.

Please use designated walking paths where applicable. We respect the unique nature surrounding Highland Base and ask you to do the same.

Highland Base is a non-smoking establishment. If smoking occurs in any of the facilities, the guest will be charged a cleaning fee equivalent to the price of one room night.

Should Highland Base facilities, e.g., a room at the Highland base hotel, be left excessively unclean, the guest will be responsible for assessed additional cleaning charges to include, but not limited to, deep cleaning, professional carpet cleaning and furniture cleaning, as applicable. The additional charge will be applied to the guest’s credit card. A detailed invoice will be completed.

You agree that any claim, action or lawsuit arising out of these terms and conditions and the services purchased, shall be interpreted and governed in conformity with Icelandic law. For any legal dispute that may arise, both parties submit to the exclusive jurisdiction of the District Court of Reykjavík.
